Charter Reservations & Operations Officer/Bangkok Head Office
Purpose of the role
The main purpose of the Reservation & Operation Officer, directly reporting to the Inbound Manager at Bangkok Head Office, is to be the contact person for the charter business when it comes to creating hotel reservations and pre booked excursions as specifically requested. The hotel reservations and pre booked excursions will be only related to the charter business.
In addition, during the summer season and before the start of the charter season, a support will be provided to non-charter accounts for tailor-made quotations and reservations.
Key Responsibilities/Job Description:
- Responsible for confirming the hotel reservation (inside & outside the allotments) of the services requested by the clients with the various properties in Siam Bay Area (Bangkok, Pattaya, Hua Hin) and/or South Thailand destinations
- Responsible for confirming the pre-booked excursions of the services requested by the clients within Siam Bay Area (Bangkok, Pattaya, Hua Hin) and/or South Thailand destinations
- Receiving and following clients’ instructions to render our services
- Support and coordination (with HR and Inbound Team) for “overseas” staff when they come to Thailand (apartments rentals, vehicles rentals, driving license, work permit,…)
- Be the main contact person for the “overseas” staff in Bangkok when they come to Thailand
- Organize inspection for hotels and excursions when it is requested
- Coordinate with the Destination Manager and Operation Team for transfers in case of any special request or any last-minute change
- Coordinate with Inbound Team for the excursion file with products & rates given to the agent on yearly basis. Double check services and costs with suppliers
- Coordinate with Operation Team to provide all pick up time in Siam Bay Area for excursions & transfers
- Ensure work is delivered to agreed service level
- Communicate and interact properly with all departments involved
- Perform other related duties as requested by supervisor or manager
Operation
- Support to collect all transfer’s data to prepare the schedule and the job order for the drivers
- Support to prepare documents to be brought at the airport and distributed to the drivers
- Create transfer bookings in our system with driver assignments and cost allocations
- Send booking requests to sea and land service providers in the destination
- Prepare and send quotations requested from the head office or any other department
- Negotiate with suppliers and make sure that all is in line with the requirements
- Coordinate and work closely with other departments of Asian Trails Thailand for any request
- Occasionally follow up and collect payments from customers on spot
- Should be willing to travel out of office to handle some requests, if required
- Foster good relationship with hotels, suppliers, and drivers
- Other tasks as assigned by the head of the department
Qualifications / Experience:
- Bachelor’s degree or higher in any related field
- Good Knowledge of languages: English (Finish and/or Swedish and/or Czech and/or Polish is a plus)
- Previous experience in hotel or other travel related industry is highly preferable (minimum 2-3 years)
- Hard working, diligent and capable of working well under pressure, to meet tight deadlines and work flexible hours/days
- A prior sales role in a related industry will be highly advantageous
- Strong problem-solving & issue management skills
- Good background knowledge in tourism industry (locally and internationally)
- Good knowledge of Thailand and other South East Asian Destinations and products
- Good communication skills
