Contracting Executive (Hotel)

Purpose of the role

Asian Trails Malaysia’s role as Contracting Executive is a key position that involves negotiating and contracting rates, special offers, allocation, release periods, overrides, terms and conditions for hotels, ensuring the best available rates and availability; in both: new properties but also re-contracting existing hotels. Based in Kuala Lumpur, the ideal candidate will become a be part of the market leader in designing and executing travel services across East and South East Asia.

Overall Responsibilities:

  • Negotiating and contracting of rates, special offers, allocation, release periods, overrides, terms conditions for hotels, ensuring the best available rates and availability; in both: new properties but also re-contracting existing hotels
  • To assist in requesting hotel contracts for Malaysia, Brunei & Singapore
  • To assist the Manager on hotel contracts negotiation and preparation
  • To assist in preparing General Tariff for Malaysia, Brunei & Singapore and revise if any update from time to time
  • To assist in requesting contracts Malaysia & Singapore
  • Follow up with hotel on signed contracts
  • System insertion, creation & update for hotel components
  • Send out close out notification
  • Prepare report for management on regular basis and when required

Qualifications:

  • Bachelor Degree in the hospitality and tourism industry
  • Minimum 2-4 years experience in a travel & tourism company – experience in a similar position is a prerequisite
  • Excellent command of English – both verbally and in writing – is essential
  • Knowledge of Malaysia and its destinations is a must
  • Able to delegate, cooperate and coordinate with all concerned person and institutions within the travel industry
  • Knowledge of the functions, operation and mission of the department
  • Excellent command of Microsoft Office applications (Excel, Word, Outlook) and excellent computing skills
  • The ideal candidate must be detailed-orientated, service-minded, some experience in negotiations and have a drive to deliver exceeding expectations
  • Able to work under pressure, meet tight deadlines and work flexible hours during peak season. A “Can Do” attitude and positive thinking that includes creative thinking is an asset
