MICE Executive

Purpose of the role

The challenging role inside the expanding MICE team in Kuala Lumpur is to work towards offering outstanding customer service including information, quotation, operation, and administrative matters in regards to MICE related RFPs (Request For Proposals). This function will be regularly handle complex quotations and ensure that these are confirmed with all suppliers efficiently and with great accuracy. Based in Kuala Lumpur, the ideal candidate will become a part of a great team of passionate travel colleagues.

Overall Responsibilities

  • Assisting and supporting the Head of MICE and other colleagues with preparing quotations, itineraries and reservations
  • Negotiation of MICE services in line with the requirements from the customer
  • Appropriate follow-up practices, including upselling of additional services
  • All accounting procedures for confirmed files: this includes managing account payable and account receivable for confirmed files with the accounting department
  • Conducting market research, gather information and negotiate contracts prior with the suppliers/ vendors (new venues/ hotels, updates of services, and etc.)
  • Foster good relationships to hotels/suppliers
  • Updating backend information of venues, suppliers, accommodation and other services, related to the MICE industry
  • Preparation of pre-event inspection trips for project managers
  • Providing feedback reports & periodic reports to superior
  • Providing idea to improve provided services and even quality
  • Liaising with client or colleagues to identify their needs and to ensure customer satisfactions
  • Work closely with colleagues from other departments and offices within the Asian Trails Malaysia head office
  • Other tasks assigned by the Head of MICE or by one of the company directors.

Qualifications

  • Bachelor Degree in the hospitality and tourism industry
  • Minimum 3 years’ experience in a travel & tourism company – experience in a similar position is a prerequisite
  • Excellent command of Spanish and English – both verbally and in writing – is essential
  • Knowledge of Malaysia and Singapore and its destinations is a must
  • Flexible & experienced in managing international markets demands
  • Able to delegate, cooperate and coordinate with all concerned persons and institutions within the travel industry
  • Excellent command of Microsoft Office applications (Excel, Word, Outlook) and excellent computing skills
  • The ideal candidate must be detailed-orientated, service-minded, have some experience in negotiations and have the drive to deliver exceeding expectations
  • Able to work under pressure, meet tight deadlines and work flexible hours during peak season. A “Can Do” attitude and positive thinking that includes creative thinking is an asset
