MICE Project Manager | Malaysia & Singapore
About the role

The challenging role within our expanding MICE team in Kuala Lumpur is focused on delivering outstanding customer service to clients. This encompasses providing information, quotations, operations and administrative matters related to MICE RFPs. The successful candidate will be required to handle often complex quotations, ensuring that details are confirmed with all suppliers in an efficient and highly accurate manner.

  • Assist and support the Head of MICE and other colleagues in preparing quotations, itineraries and reservations;
  • Handle customer inquiries and lead requests for MICE groups;
  • Negotiate MICE services in line with requirements from the customer;
  • Help to achieve revenue and booking goals for the MICE team;
  • Align customer preferences with brand needs;
  • Conduct appropriate follow-up practices, including upselling of additional services;
  • Manage all accounting procedures for confirmed files. This includes managing accounts payable and accounts receivable for confirmed files with the accounting department;
  • Research and development of new products, venues and MICE related services;
  • Foster good relationships with hotels/suppliers;
  • Update backend information of venues, suppliers, accommodation and other services related to the MICE industry;
  • Update the follow up master file at all times;
  • Prepare pre-event inspection trips for project managers;
  • On-ground arrangements for confirmed groups and site inspections
  • Work closely with colleagues from other departments and offices within the Asian Trails Malaysia head office.
  • Bachelor’s degree in event management or hospitality and tourism;
  • Minimum 3-5 years’ experience in a travel & tourism company – 3 years’ experience in a similar position is a prerequisite;
  • Knowledge of a third language is definitely seen as an asset;
  • Knowledge of Malaysia and its destinations is a must;
  • Able to delegate, cooperate and coordinate with all concerned people and institutions within the travel industry;
  • Experience with DMC software is an advantage;
  • Excellent command of Microsoft Office applications (Excel, Word, Outlook) and excellent computing skills;
  • The ideal candidate must be detailed-orientated, service-minded, have some experience in negotiations and be driven to exceed expectations;
  • Able to work under pressure, meet tight deadlines and work flexible hours during peak season.
  • A “Can Do” attitude, positive mindset and creative thinking are assets;
  • This position is open for Malaysian or foreign nationals.
