Supervisor MICE Department

Purpose of the role
    This position within the Asian Trails' middle MICE (Meeting, Incentive, Conference and Events) management ranks is an essential part of handling the MICE department starting from receiving requests from travel agents abroad; prepare offers and quotations, timely follow-up and booking of all services with our branch offices, hotels and suppliers in Thailand. You are also responsible for timely preparing and booking all events related services with hotels and other suppliers as well as the invoicing process and payment collection. Suitable candidates for this supervisory role within a fast growing department will join a young and dynamic team of professionals.
Overall Responsibilities
  • Motivate, train, monitor and supervise all business handled by the department
  • Monitor operation, cost, budget and resources for the department
  • Ensure and strengthen business relationship between the department and suppliers
  • Proactively suggest implementation at all levels within the department
  • Monitor team members' performance and suggest plan for training and development where needed
  • Handle MICE requests from qualifying the lead, prepare quotation, follow up with clients, quotation revision, supplier reservation, service confirmation, operation handling, payment handling, invoicing, payment handling follow up, on - spot problem solving, documentation and all administrative tasks required
  • Working closely with Assistant MICE Manager on product development, cost sheet review and operational action plan review
  • Reporting directly to Asian Trails Thailand's MICE Manager
  • Minimum 5 year experience in a travel & tourism company, preferably in inbound MICE sector in Thailand
  • Knowledge about Thailand as a touristic destination especially for MICE sector is a must
  • Excellent command of English - both verbally and in writing - is essential
  • Excellent command of Microsoft Office applications (Excel, Word, Power Point, Outlook) and computing skills
  • A willingness to travel for work and spend time outside the office when required.
  • Interpersonal skill, good team work, gentle and helpful.
  • Able to delegate, cooperate and coordinate with all concerned person and institutions within the travel industry.
  • Hardworking and friendly, service minded attitude with a sense of discretion
  • Candidates must be detail-oriented and possess good negotiation skills.
  • Able to work under pressure, meet tight deadlines and work flexible hours during peak season.
  • A "Can Do" attitude and positive thinking that includes creative thinking is an asset
