Multi-Country Specialist & Supervisor

Italian and Latin American Department

Purpose of the role
    The role entails receiving requests, consultation with the agent, preparing offers and quotations, timely follow-ups and booking all services with our own branch offices, hotels and 3rd party suppliers in Thailand or via our other Asian Trails offices in our other destinations in South East Asia and China. The job holder is also responsible to issue supplier vouchers as well as control the invoicing process and payment collection, wherever relevant and applicable.

    Besides the above-described tasks this position also plays an important role in terms of Key Account Management, and it is essential, that the job owner builds a close relationship with selected key accounts and understand the needs and requirements of these agents.

    This role also helps supervise and coordinate the multi-country requests handled by the Latin-Italian team and will act as a focal point in the team together with the Latin-Italian management team in regard to multi-country programs.

    Furthermore, as indicated in more detail below, there will be additional tasks that will come up on an ad-hoc basis.
Overall responsibilities
  • Take full ownership of the allocated reservation requests from overseas travel agencies and/or tour operators in terms of communication, preparation of itineraries, supplier bookings and monitoring payment collection.
  • Act as a consultant for overseas (key) agents and pro-actively inform agents on itineraries and products.
  • Actively schedule calls with (key) agents where required in order to understand all requests and client needs.
  • Pro-actively negotiate the best possible rates with suppliers and hotels, maximizing GOP via upselling and other strategies.
  • Pro-actively request product information from the product department and contracting support whenever required from the commercial team.
  • Coordinate with the operational teams to ensure proper guide selection and operational quality match with the clients' profile.
  • Follow up on general administration tasks where required.
  • Work closely with colleagues from other departments and offices within the Asian Trails Group.
  • Supervise, coach and train other staff in the department, sharing information and best practices.
  • Reporting directly to the heads of the Italian and Latin American Department.
  • Other tasks as assigned by the management.
  • Minimum 5 years' experience in a travel & tourism company.
  • Excellent destination knowledge and a proven supplier network in Thailand and other Southeast Asian destinations such as Vietnam, Cambodia, Laos and Myanmar is essential.
  • The job holder is able to consult independently with demanding agents about all destinations and recommend pro-actively specific travel products.
  • Proven experience with FIT and GIT/series business.
  • Excellent command of Microsoft Office applications (Excel, Word, Outlook) and excellent computing skills. Familiarity with Tour Reservation Software is a requirement.
  • Fluent command of English and Thai - both verbally and in writing - is essential (additional languages such as Spanish, Italian or Portuguese are a definite advantage).
  • A pro-active results-focused approach.

  • A think-out-of-the-box and hands-on attitude.
  • Able to work under pressure, meet tight deadlines and work flexible hours during peak moments.
  • Willingness to travel for work and spend time outside the office when required.
