Assistant Manager Inbound Department


Purpose of the role
    The role entails receiving requests, consultation with the agent, preparing offers and quotations, timely follow-ups and booking all services with our own branch offices, hotels and 3rd party suppliers in Thailand. The job holder is also responsible to issue supplier vouchers as well as control the invoicing process and payment collection. Besides the above described tasks, the job holder assists and supports the Manager in leading, training and supporting the Inbound team. Supervise the workload of the team, answer questions and give advice to the team members is a part of the daily work. Furthermore, as indicated in more detail below, there will be additional tasks that will come up on an ad-hoc basis.
Overall responsibilities
  • Take full ownership of the allocated reservation requests from overseas travel agencies and/or tour operators in terms of communication, preparation of itineraries, supplier bookings and monitoring payment collection.
  • Act as a consultant for overseas (key) agents and pro-actively inform agents on itineraries and products.
  • Actively schedule calls with (key) agents where required in order to understand all requests and client needs.
  • Pro-actively negotiate the best possible rates with suppliers and hotels, maximizing GOP via upselling and other strategies.
  • Pro-actively request product information from the product department and contracting support whenever required from the commercial team.
  • Coordinate with the operational teams to ensure proper guide selection and operational quality match with the clients' profile.
  • Work closely with colleagues from other departments and offices within the Asian Trails Group.
  • Arrange inspection trips for Management and staff and escort FAM trips, site inspections, VIP clients where required.
  • Supervise, coach and train other staff in the department, sharing information and best practices.
  • Take over the manager's duties in terms of reporting and workload management whenever the Inbound Manager is out of office.
  • Help prepare yearly master files for some agencies.
  • Reporting directly to the head Inbound Department.
Qualification
  • Minimum 3-5 year experience in the region in a similar role.
  • The job holder is able to consult independently with demanding agents about all destinations and recommend pro-actively specific travel products.
  • Proven experience with FIT and GIT/series business.
  • knowledge and experience for Indochina and other countries outside of Thailand would be preferable.
  • Excellent command of Microsoft Office applications (Excel, Word, Outlook) and excellent computing skills. Familiarity with Tour Reservation Software is a requirement.
  • Fluent command of English and Thai - both verbally and in writing - is essential (additional languages such as German is a definite advantage).
  • A pro-active results-focused approach.
  • Great communication and interpersonal skills.
  • Able to work under pressure, meet tight deadlines and work flexible hours during peak moments.
  • Willingness to travel for work and spend time outside the office when required.
  • This position is open for both Thai and foreign nationalities.
