MICE and Leisure Groups Officer (French-speaking) | Indonesia
About the role
This important role within the MICE Department at Asian Trails Indonesia will take care of all MICE (including leisure groups) reservations, from receiving requests from travel agents abroad to preparing offers and quotations, timely follow-up and booking of all services, hotels, and suppliers in Bali. The role also involves issuing vouchers to hotels and other suppliers as well as the invoicing process and payment collection. The successful candidate will be working with the MICE Manager/representative to promote our services and increase sales, performing data analysis, and engaging in quality assurance, as well as customer service activities.
Responsibilities
- Communicate with overseas travel agencies and tour operators;
- Prepare itineraries and quotations;
- Send reservation requests to hotels and land service providers in Bali;
- Follow up on sent-over programmes;
- Ensure that all relevant data is uploaded to Asian Trails’ administration system;
- Coordinate with the operations department for booking land services;
- Handle reservations between suppliers and hotel representatives;
- Follow up on payments from customers;
- General administration tasks;
- Work closely with colleagues from other departments and offices within the Asian Trails Group;
- Responsible for reservation and contracting activities with suppliers and hoteliers;
- Out-of-office meetings with customers to handle events, special requests, and other tasks as outlined (when required).
Qualifications
- Indonesian national;
- Bachelor’s degree in the hospitality industry;
- Minimum 2 years of experience working in MICE, event companies, or travel & tourism companies;
- Good command of English and proficiency in French (both verbal and written) is essential (ability to speak and understand German/Italian/Spanish is definitely seen as an advantage);
- High degree of customer service and satisfaction orientation; fast, clear, professional, straight-to-the-point answer;
- Good attention to detail;
- Experience with Destination Management software is an advantage;
- Excellent command of Microsoft Office (Word, Excel, Outlook) applications and computing skills;
- Able to work under pressure, meet tight deadlines, and work flexible hours during peak season;
- Able to work independently as well as part of a team;
- A “Can Do” attitude, positive thinking and creative thinking is an asset.
