Inbound Officer / Travel Consultant | Indonesia
About the role

This important role at Asian Trails Indonesia is responsible for managing the complete reservation process for assigned international markets. The role includes handling enquiries from overseas travel partners, preparing tailor-made itineraries and quotations, coordinating reservations with hotels and suppliers throughout Indonesia, issuing travel documents, supporting the invoicing process, and ensuring excellent customer service throughout the booking cycle.

Responsibilities
  • Manage day-to-day communication with overseas travel agencies, tour operators, and international travel partners.
  • Prepare tailor-made itineraries, proposals, and quotations based on client requirements.
  • Send reservation requests to hotels, transportation providers, and other land service suppliers throughout Indonesia.
  • Follow up on quotations, reservations, and confirmed travel programs to ensure timely execution.
  • Ensure all booking information and relevant data are accurately maintained in the Asian Trails administration system.
  • Coordinate closely with the Operations Department and other internal teams to ensure smooth service delivery.
  • Handle reservations and confirmations with hotels, suppliers, and service providers.
  • Follow up on client invoicing, payment collection, and vendor payments as required.
  • Perform general administrative duties as assigned by the Direct Manager.
  • Work collaboratively with colleagues across departments and Asian Trails offices to deliver seamless customer experiences.
  • Support reservation, contracting, and supplier relationship activities to ensure service quality and competitive pricing.
  • Attend client meetings, site inspections, or operational visits when required to support business needs.
  • Maintain strong relationships with clients, suppliers, and business partners through professional and timely communication.
Qualifications
  • Indonesian national.
  • Bachelor’s degree in Hospitality, Tourism, or a related field.
  • Minimum 2 years of experience in a Destination Management Company (DMC), inbound tourism, or travel industry.
  • Experience in handling FIT, GIT, and/or MICE bookings is preferred.
  • Excellent command of English, both written and spoken, is essential. Additional foreign language skills will be considered an advantage.
  • Good knowledge of hotel contracting, supplier coordination, and destination operations.
  • Familiarity with Destination Management Systems (DMS) or similar reservation software is an advantage.
  • Proficient in Microsoft Office applications, particularly Word, Excel, and Outlook.
  • Strong communication, organizational, and problem-solving skills.
  • Able to work under pressure, meet tight deadlines, and remain flexible during peak seasons.
  • Able to work independently as well as collaboratively within a team.
  • Customer-oriented, proactive, and detail-oriented with a positive “Can Do” attitude and creative mindset.
