Charter Reservations & Operations Officer (6 months contract) | Thailand
About the role
The main purpose of the Reservation & Operations Officer, who reports directly to the Inbound Manager at the Bangkok Head Office, is to be the contact person for the charter business when it comes to creating hotel reservations, pre-booked excursions and transfers as specifically requested. This role is offered on a six-month contract.
Responsibilities
Reservations
- Be responsible for confirming hotel reservations (inside and outside allotments) for services requested by clients with the various properties in the Siam Bay Area (Bangkok, Pattaya, Hua Hin) and, if requested, in South Thailand destinations.
- Be responsible for confirming pre-booked excursions and services requested by clients within the Siam Bay Area (Bangkok, Pattaya, Hua Hin) and, if requested, in South Thailand destinations.
- Receive and follow clients’ instructions to render our services.
- Organise inspections for hotels and excursions for overseas staff when requested.
- Coordinate with the Destination Manager and Operations Team for transfers in case of any special request or last-minute change.
- Coordinate with the Inbound Team for the excursion file with products & rates given to the agent on a yearly basis. Double-check services and costs with suppliers.
- Coordinate with the Operations Team to provide all pick-up times in the Siam Bay Area for excursions & transfers, as well as ensure their timely insertion into the LEMAX Reservation System.
- Ensure work is delivered to the agreed service level.
- Communicate and interact properly with all departments involved.
- Perform other related duties as requested by the supervisor or manager.
- Be prepared to work outside office hours or on weekends, depending on rotational work for charter agents, where required.
- Follow up and collect payments from overseas charter agents.
Operations
- Create transfer bookings in our system in a timely manner and closely coordinate with the Operations Team.
- Send booking requests to sea and land service providers in the destination.
- Prepare and send quotations requested by the head office or any other department.
- Negotiate with suppliers and make sure that all is in line with the requirements.
- Coordinate and work closely with other departments of Asian Trails Thailand for any requests.
- Foster good relationships with hotels, suppliers, and drivers.
- Perform other tasks as assigned by the Head of Department.
Sustainability
- Fully understand the range of sustainable products available and encourage clients to include relevant ones within their programmes.
- Invite agents to take part in our Refillable Water Bottle and Carbon Offsetting initiatives.
Qualifications
- Bachelor’s degree or higher in any related field.
- Good Knowledge of languages: English, Finnish and/or Swedish/Polish/Czech is a plus.
- Previous experience in hotel or other travel related industry is highly preferrable.
- Hard working, diligent and capable of working well under pressure, to meet tight deadlines and work flexible hours/days.
- Should be prepared to work out of office hours or on weekends, depending on rotational work for charter agents, where required.
- A prior sales role in a related industry will be highly advantageous.
- Strong problem-solving & issue management skills.
- Good background knowledge in tourism industry (locally and internationally).
- Good knowledge of Thailand and in-destination products.
- Good communication skills.
