MICE and Leisure Groups Officer (Indonesia)
Purpose of the role
This important role within the MICE Department at Asian Trails Indonesia will be involved in the complete MICE (and leisure groups) reservation process. The successful candidate will be responsible for receiving requests from travel agents abroad, preparing offers and quotations, following up in a timely manner on booking services, hotels and suppliers in Bali, issuing vouchers to hotels and other suppliers and performing invoicing and payment collection tasks. Other tasks include working with the MICE Manager/representative to promote our services and increase sales, performing data analysis and engaging in quality assurance as well as customer service activities.
Overall Responsibilities:
- Communicate with overseas travel agencies and tour operators;
- Prepare itineraries and quotations;
- Send reservation requests to hotels and land service providers in Bali;
- Follow up on programmes that have been sent;
- Ensure that all relevant data is uploaded to Asian Trails’ administration system;
- Coordinate with the operations department in booking land services;
- Handle reservations between suppliers and hotel representatives;
- Follow up payments from customers;
- General administration tasks;
- Work closely with colleagues from other departments and offices within the Asian Trails Group
- Carry out reservation and contracting activities with suppliers and hoteliers.
Qualifications:
- Bachelor’s degree in the hospitality industry;
- Minimum 2 years experience working in MICE, event companies or travel & tourism company;
- Good command of English is essential – both verbal and written. Ability to speak and understand German/Italian/Spanish/French language is definitely seen as an advantage;
- Highly customer service and satisfaction oriented; ability to provide fast, clear, professional, straight-to-the-point responses to enquiries
- Good attention to detail;
- Experience with Destination Management software is an advantage;
- Excellent command of Microsoft Office (World, Excel, Outlook) applications and computing skills;
- Able to work under pressure, meet tight deadlines, and work flexible hours during peak season;
- Able to work independently as well as part of a team;
- A “Can Do” attitude and positive thinking that includes creative thinking is an asset;
