Tour Administrator (Middle East & Africa Markets) | Thailand
About the role
To manage and support all administrative processes for inbound tours from the Middle East and Africa markets, ensuring accurate reservations handling, supplier coordination, and timely documentation in order to deliver smooth and efficient service delivery for these regional clients.
Responsibilities
- Process and manage reservations for inbound tours from Middle East and African clientele.
- Coordinate with hotels, transport providers, guides, and service partners to confirm bookings and secure preferential rates.
- Input and maintain booking details and supplier confirmations in the system with high accuracy.
- Prepare and issue service vouchers, itineraries, invoices, and other operational documents.
- Communicate booking updates, changes, and special requests to relevant internal departments.
- Support the Sales and Operations teams in preparing quotations, package details, and costing sheets.
- Track and monitor booking status to ensure all tour arrangements are confirmed prior to client arrival.
- Ensure all client documentation and records are filed and archived in line with company standards.
- Provide administrative support during peak season and handle urgent operational tasks when required.
- Assist with communication in relevant languages and cultural nuances specific to Middle East and African clientele.
- Fully understand the range of sustainable products available and encourage clients to include relevant ones within their programs.
- Invite agents to take part in our Refillable Water Bottle and Carbon Offsetting initiatives.
- Other duties and special projects as assigned.
Qualifications
- Bachelor’s degree in the hospitality industry.
- Minimum 2 years’ experience in a travel & tourism company.
- Good command of verbal and written English is essential. Arabic language would be plus.
- Knowledge of Thailand and other Southeast Asian market is an advantage.
- Working experience in the travel & tourism industry in Thailand is a must.
- Good command of Microsoft Office applications and excellent computing skills.
- Able to work under pressure, meet tight deadlines and work flexible hours during peak season. A “Can Do” attitude and positive thinking that includes creative thinking is an asset.
