Asian MICE Market Supervisor | Indonesia
About the role
This role is responsible for managing end-to-end MICE (Meetings, Incentives, Conferences, and Events) projects within the Asian Market Department at Asian Trails Indonesia. The position focuses on handling complex and high-value group movements from key markets such as India and the Middle East, ensuring smooth coordination with clients, suppliers, and internal teams, as well as consistent delivery of high service standards.
Responsibilities
- Manage MICE inquiries from initial request through to execution.
- Prepare proposals, itineraries, and costings aligned with client requirements.
- Handle complex and high-value MICE projects, including incentives and conferences.
- Serve as the main point of contact for clients and overseas partners.
- Coordinate bookings and logistics with hotels, venues, and suppliers.
- Ensure all services are delivered accurately and on time.
- Monitor project budgets and timelines to maintain efficiency.
- Maintain accurate records and system updates for all bookings and activities.
- Negotiate with hotels, venues, and suppliers for better rates or to enhance overall profitability.
- Follow up on invoicing, payments from clients and payments to vendors to ensure timely processing and smooth operations.
- Explore new hotels, venues, and activity suppliers to build exclusive partnerships, present new products to clients, and secure more competitive rates.
- Attend site inspections and supervise on-site event execution when required.
- Collaborate with internal teams and support departmental objectives.
- Maintain strong, positive relationships with both internal teams and external customers.
Qualifications
- Indonesian national.
- Bachelor’s degree in hospitality, tourism, event management, or a related field.
- Minimum 4–6 years of experience in a DMC or MICE environment.
- Proven experience in handling MICE projects such as incentives, conferences, and group events (preferably for the Indian MICE market).
- Strong understanding of Asian markets, preferably India and/or the Middle East.
- Excellent command of English, both written and spoken.
- Solid experience in coordinating and negotiating with hotels, venues, and external suppliers.
- Familiarity with destination management systems or similar tools is an advantage.
- Proficient in Microsoft Office (especially Excel, Word, and Outlook).
- Strong organisational skills with the ability to manage multiple projects simultaneously.
- Able to work under pressure and meet tight deadlines.
- Willing to travel and be on-site for event execution when required.
- Proactive, detail-oriented, and solution-driven.
- A “Can Do” attitude and positive thinking that includes creative thinking is an asset.
