Travel Consultant (French-speaking market) | Vietnam
About the role
This role is responsible for handling requests and bookings from French-speaking travel agents, as assigned by the Market Manager. The successful candidate will develop and maintain strong relationships with Asian Trails’ customers and partners by providing timely support, preparing accurate quotations, and offering professional consultation on products and services.
Responsibilities
- Build and maintain excellent relationships with customers, ensuring smooth communication and cooperation with customers/agents;
- Consult with customers/agents on products and services and provide quotations accordingly;
- Follow up with customers/agents for final feedback/confirmation, optimising materialisation of quotations;
- Respond to customer and agent enquiries within 24 hours whenever possible, ensuring all enquiries are addressed within a maximum of 48 hours;
- Manage bookings and requests from online and offline agents as assigned by the Market/ Department Manager;
- Liaise with customers/agents to understand and anticipate their requirements, working in collaboration with all relevant departments;
- Coordinate with other departments to ensure all services are booked accurately for each booking;
- Understand the price structure and be responsible for the accuracy of data uploaded into the system;
- Use the reservation system accurately (create itineraries, quotes, send offers to customers/agents, create pro forma invoices, etc.);
- Follow up on payments with agents/suppliers in cooperation with the accounting department;
- Verify and ensure that all files are complete with confirmations from all hotels and suppliers, and our final confirmation to agent;
- Report regularly on any issues, problems and complaints from agents/customers to your Market/ Department Manager;
- In case of complaints, be aware of and follow the internal communication flow system for complaints;
- Make sure out of e-mail replies are set up for team members on leave and coordinate on a daily basis to ensure e-mails/tasks are handled by other staff in case of sickness/leave;
- Other duties as required by the Market/ Department Manager.
Qualifications
- Minimum of 1 year of experience in the tourism industry, preferably in inbound (international) travel;
- Excellent communication skills working with the French-speaking market (both verbal and written). Additional spoken languages are an advantage;
- Mature and experienced in negotiation & commercial thinking;
- Able to work both independently and as part of a team;
- Advanced computer skills: Microsoft Office applications (Excel, Word, Outlook) and ability to adapt quickly to new IT programmes/environments;
- Ability to work under high work load pressure.
