Asian Trails delivers large-scale incentive in Thailand
In May 2025, Asian Trails Thailand successfully delivered one of its most rewarding events to date – an ambitious incentive programme for over 2,300 delegates.
Spanning six days in Bangkok, the event was a showcase of precise logistics, detailed planning and seamless execution, reinforcing the team’s reputation for delivering world-class MICE experiences.
The dynamic itinerary included a city tour of Bangkok’s iconic Grand Palace and ancient temples, an excursion to the historic city of Ayutthaya, a dinner cruise along the Chao Phraya River and a boat trip to an idyllic island off the coast of Pattaya.
Led by MICE Manager Suriwipa Dalliston, the project began with the initial pitch to the client in November 2023. “It was hard work, no doubt about that, but we were fortunate to be backed by the strength and unwavering support of the Asian Trails’ brand and its leadership, who truly see and value the dedication behind the scenes,” she said.
Preparation for the event spanned over 18 months and required detailed coordination across internal departments, guides and key partners, including Bangkok Marriott Marquis Queen’s Park and the Queen Sirikit National Convention Centre. The scope of the event was vast, including curated room drops, carefully timed airport operations, the navigation of 60 buses through Bangkok’s busy streets and a large-scale conference and gala dinner.
Assistant MICE Manager Natanong Maikhu highlighted the complexity of the task and the critical importance of cooperation. “There were so many stakeholders with different cultural backgrounds and perspectives. We spent hours in meetings to ensure everyone was aligned,” she said.
Programme and manpower planning – especially the organisation of transporting thousands of guests simultaneously – was one of the most demanding aspects of the project. Natanong said: “Working with over 100 staff members while also coordinating with our hotel and venue partners required exceptional teamwork and collaboration.”
MICE Executive Chanidapha Manophen, who oversaw logistics for the dinner cruises, shared a similar perspective. “Timing was crucial – there was no margin for error. A delay in one area could affect the entire programme.” Her approach was to act decisively, consult with supervisors and make quick decisions on the ground. “Staff members were assigned to key stations to provide assistance whenever needed,” she said.
Spanish-speaking guide Pantrat Kanchanasin, who managed the VIP delegation, also stressed the importance of thorough planning and constant communication. “With such a large group, good communication is vital to ensure the plan is carried out successfully. We had several briefings and always had a Plan B,” she said.
Guide Pongsathorn, also known as ‘Pong’, who led tours through the Grand Palace, reflected on the challenges of coordinating a team of guides who had not previously worked together and emphasised the importance of building mutual trust with international partners. “Guides usually work independently, but this event demanded seamless teamwork across multiple teams. The key was clear task delegation and open communication.”
The programme’s success is a testament to the team’s experience, dedication and adaptability.
The most rewarding feedback came directly from the client, who remarked: “We don’t know how we’ll top what we’ve experienced in Thailand next year.”
As the final bus departed and the street outside the hotel fell quiet, the entire operations team – guides, drivers, hotel staff and project leads – gathered for a spontaneous round of applause.
This simple, heartfelt gesture captured the emotion, relief and pride of delivering a successful large-scale event – an unforgettable experience and a milestone moment for the Asian Trails’ team.
