MICE Quotation Specialist | Thailand
About the role

We are seeking a highly organised and detail-oriented individual to join our team as a quotation specialist for MICE (Meetings, Incentives, Conferences, and Exhibitions). In this role, you will be responsible for preparing, negotiating, revising and managing accurate, detail-focused and competitive quotations for MICE events from key accounts, mainly from European market.

Responsibilities
  • Quotation Preparation: The main responsibility of a MICE quotation specialist is to prepare accurate and detailed quotations for MICE events based on client requirements. Gather information from clients and/or our sales colleagues regarding the event objectives, number of participants, event dates, preferred venues, accommodation needs, transportation requirements and any additional services requested. Using this information, create customised event proposals and cost estimates that include all aspects of the event, such as venue rental, catering, audiovisual equipment, transportation and any other requested services.
  • Pricing Analysis and Negotiation: Analyse pricing structures and negotiate with vendors, suppliers and service providers to ensure competitive pricing while meeting the client’s budget requirements. Research and compare prices, negotiate discounts and review offers to secure the best possible rates and terms for the client.
  • Support Event Planning: MICE quotation specialists work closely with the project manager or project coordinators and other team members to understand the event objectives and requirements. Collaborate on the overall event planning process, sharing their expertise in pricing and logistics to develop a comprehensive event. Provide input on the feasibility of client requests, suggest alternative options and offer advice on cost-saving measures without compromising the event’s quality.
  • Occasional Client Communication: MICE quotation specialists serve as a support point of contact for clients during the quotation process in case of the file handler’s absence. They communicate with clients to gather event details, answer inquiries, provide clarifications and address any concerns related to the quotation. Clear and timely communication is essential to build and maintain strong client relationships.
  • Documentation and Record-Keeping: MICE quotation specialists maintain detailed records of all quotations, pricing information, correspondence with clients and any contractual agreements. They use quotation management systems or other software tools to track and organise quotations, ensuring easy retrieval and reference for future use.
  • Industry Knowledge and Research: Staying updated on industry trends, new venues, suppliers and services is important for a MICE quotation specialist. Conduct market research, attend industry events and maintain relationships with vendors and suppliers to gather insights and stay informed about the latest offerings. This knowledge helps provide innovative solutions and competitive pricing options to clients.
Qualifications
  • Very strong skills in Microsoft Excel and Microsoft PowerPoint is essential for this role;
  • Exceptionally detail oriented;
  • Excellent numerical and analytical skills; and ability to analyze pricing structures, negotiate costs, calculate budgets and manage financial aspects effectively;
  • Good command in English, especially in reading and writing;
  • Knowledge of profit margins, cost-saving strategies and market pricing trends is a plus;
  • At least 3 years’ experience in delivering quotations for MICE or GIT for a DMC;
  • Strong organisational and multi-tasking skills;
  • Strong communication skills;
  • Ability to work effectively under pressure and meet tight deadlines;
  • Strong negotiation and vendor management abilities;
  • Ability to work in a team as well as individually with minor supervision.
