Tour Administrator & Reservations – Inbound (Thailand)
Purpose of the role
The role of tour administrator and reservations is a crucial link between our overseas partner and our suppliers. The successful candidate will take care of the complete reservation process, from receiving requests from travel agents abroad, preparing offers and quotations and timely follow-up and booking of all services with our branch offices, hotels and suppliers in Thailand. The candidate will be responsible for issuing vouchers to hotels and other suppliers as well as the invoicing and payment collection process. This role is will form part of our dynamic European or US/UK market team.
Overall Responsibilities:
- Communicate with the overseas travel agencies and tour operators
- Prepare itineraries and quotations
- Send reservation requests to hotels and land service providers in Thailand
- Follow up on programmes that have been sent
- Ensure all relevant data is uploaded to Asian Trails’ reservation system (LEMAX), including but not limited to reservations as well as quotations
- Coordinate with the operations department within our offices for booking land services
- Follow up on payments from overseas B2B partners
- General administration tasks
- Work closely with colleagues from other departments and offices within the Asian Trails Group
- Build a strong understanding of online business and bookings through Asian Trails’ online platform eConnect
Qualifications:
- Fluent command of English both verbal and written (German as a third language is a plus)
- 1-2 years’ experience in a travel & tourism company
- Specific destination knowledge in Thailand and/or South-East Asia
- Experience with FIT and GIT/series bookings is an advantage
- Experience with LEMAX software is an advantage
- Good command of Microsoft Office applications (Excel, Word, etc)
- Able to work under pressure, meet tight deadlines and work flexible hours during peak season
- A “Can Do” attitude, positive thinking and creative thinking is an asset
